Roche Products Pty Limited (Australia) is one of the world's leading research-based healthcare companies.
Roche had over 30 years worth of paper based employee personnel files, including documents such as holiday forms, superannuation details, contracts of employment and payroll information.
This legacy system - which relied on using paper based files - meant that document retrieval processes were slow and there was a danger that files could be harder to locate as they were often in transit to or from deep storage.
In addition the retrieval could take up to 20 minutes to locate, and the files took up an incredible amount of space in the form of filing cabinets, storage, resulting in direct and other hidden costs.
In recognising the need to have better access to documents and to reduce both storage costs and manual time spent on filing and retrieval, ADEC Preview were approached.
The files were collected and scanned, and ADEC Preview provided Roche with one field of indexing on a portable hard drive. The files were then loaded onto Roche’s internal servers for ongoing viewing and the ability to add to the files. The hard drive has been stored offsite allowing for a secure disaster recovery solution.
Roche commented that the new system helped them to speed up processes and tasks on the whole. Archived historic documentation and information is now accessed with greater ease, which in turn will create efficiencies and produce cost savings going forward.
